Job overview
Medius is seeking a Professional Services Operations Administrator to support the Customer Experience Organization (CXO) by ensuring accurate project setup, billing readiness, and financial alignment across Professional Services engagements.
As part of the CXO Operations & Strategy team, this role serves as a critical link between Sales, Delivery, and Finance, translating signed Order Forms (OFs) and Statements of Work (SOWs) into accurately configured projects within core business systems. The position plays a key role in protecting revenue, improving billing accuracy, reducing operational burden on delivery teams, and driving scalable operational processes through standardization, automation, and the evolving use of AI.
This role reports to the Senior Director, CXO Strategy & Operations.
Responsibilities and Duties
Project Setup & SOW Validation
Review signed Order Forms (OFs) and Statements of Work (SOWs) to ensure completeness, accuracy, and compliance with internal standards.
Validate commercial terms including billing structures, milestones, pricing, and discounts.
Identify and proactively escalate inconsistencies, missing information, or potential risks.
Configure projects accurately within core systems, ensuring proper alignment between opportunities, projects, and financial data.
Billing Readiness & Accuracy
Ensure projects are fully configured and invoicing-ready prior to delivery kickoff.
Validate billing schedules, milestone structures, and rate configurations against contractual agreements.
Partner with Delivery Managers and Finance to confirm invoicing readiness and minimize billing errors.
Support alignment between time-tracking tools and invoicing processes.
Perform pre-invoice validation checks to reduce rework, credits, and customer-facing billing issues.
Finance Partnership & Financial Alignment
Collaborate closely with Finance to ensure alignment between project setup, invoicing, and revenue recognition.
Support accurate data flow between Professional Services systems and financial platforms.
Assist with month-end close activities, including project data validation and billing reviews.
Help prevent revenue leakage and financial discrepancies through strong operational controls.
Operational Efficiency & Process Improvement
Identify opportunities to improve project setup, billing, and operational workflows.
Partner with CXO Operations and leadership to standardize processes and reduce manual effort.
Develop scalable frameworks that drive consistency across regions, teams, and engagement types.
Improve data quality, governance, and adherence to operational best practices.
Systems & Data Management
Serve as a subject matter expert for project setup and billing-related data.
Maintain accurate and consistent data to support reporting, forecasting, and invoicing.
Manage documentation, templates, and process standards.
Support system enhancements and process improvements that increase efficiency and accuracy.
Automation & AI Enablement
Identify opportunities to automate manual project setup and billing workflows.
Partner with CXO Operations, Finance, and IT to implement automation solutions.
Support the adoption of AI-driven capabilities for SOW/OF data extraction, project setup recommendations, and billing validation.
Provide feedback to continuously improve automation and AI outputs.
Cross-Functional Collaboration
Work closely with stakeholders across CXO, Sales, Finance, and Operations.
Facilitate smooth and accurate handoffs between Sales and Delivery teams.
Contribute to initiatives focused on operational excellence, billing accuracy, and system optimization.
Investigate and resolve project setup and billing-related issues as needed.
Qualifications
Required
3+ years of experience in Professional Services Operations, Finance Operations, Project Administration, or a related field.
Strong attention to detail with the ability to interpret commercial agreements, contracts, and Statements of Work.
Experience working with Salesforce (SFDC) and/or Professional Services Automation (PSA) tools such as Cloud Coach.
Strong organizational skills and process-oriented mindset.
Ability to manage multiple priorities and collaborate effectively across functions.
Strong analytical and problem-solving skills with a focus on root-cause identification and resolution.
Preferred
Experience within a SaaS or technology company.
Familiarity with Professional Services delivery models, including Time & Materials (T&M), Fixed Fee, and milestone-based billing.
Experience with financial systems such as NetSuite.
Exposure to automation initiatives, workflow optimization, or AI-enabled tools.
Experience supporting global teams across multiple regions and time zones.

The total compensation package for this position may also include eligibility for variable compensation (such as a performance bonus or commission), benefits, and/or participation in other incentive or benefit plans, in accordance with the terms of the applicable plans.
